Lead Coordinator Role Description
Serving as a Lead Coordinator is a great way for employees to network, develop professionally, and own an important department endeavor. Some departments have a team of volunteers rather than one Lead Coordinator, which can prove to be very effective for larger institutions. Successful Lead Coordinators will:

- Have the ability to implement the campaign for their entire institution and make it accessible for everyone, in part by understanding organizational structure and existing communication channels, and knowing who to ask for help.
- Be creative in developing fun opportunities that motivate their colleagues to participate through nonprofit fairs, chili cook-offs, presentations, lunches, contests, and regular staff meetings.
- Have strong organizational skills that enable distributing CCC information, tracking donations online, and turning in materials on set deadlines to CCC staff.
- Be a leader (either formal or informal) of their institution and comfortable talking to a room of colleagues about fundraising goals and needs, the campaign timeline, and the importance of giving.
- Have a passion for strengthening Colorado and an appreciation for the many nonprofit organizations and missions that accomplish this.
Specific responsibilities of Lead Coordinators are to do the following from September - December:
- Inspire a well-known, influential department head to introduce the employee giving campaign (often via email + meeting announcement)
- Coordinate 6+ communications (email, newsletter, presentation, announcements) to colleagues
- As desired, coordinate an event (such as a chili cookoff) and/or invite colleagues to a CCC-led event

2023-2024 Key Dates
The 2024 - 2025 schedule will be available by August 2024. It will likely be similar to last year's schedule:
The campaign will technically remain open throughout most of 2024, specifically for new hires to participate in. We'll stop having a big communications push by December 29. The more people that create a recurring pledge before December 29, the more people that pledge for an entire year, the more funds go toward their favorite charities!

- September 13: Seed money request opens (first 10 applicants will receive a $50 gift card to support their campaign)
- September 19: Soft launch: giving site open for Lead Coordinators and executives to explore, register and make their pledge
- September - October: Lead Coordinators schedule 1:1 meeting with Stacey to plan their campaign and communications
- October 2: CCC open for pledging - start communicating to all staff!
- December 19: Last day to submit paper pledges
- December 29: CCC closes - stop communicating to all staff
- January 10: extension ends.

When does the 2023 campaign run?
The campaign will run from October 2 - December 29, with a small extension until January 10.
Within this timeframe, individual state agencies and colleges/universities plan and run their own internal campaigns. Wrap up and accounting then take place in January; in February - March, nonprofit distribution is set up; and, in April, reporting and first donations go to charities. Distributions run for 12 months.

Who can I call for help if I have questions about our campaign?
CCC staff members are available to answer your questions, help you plan and troubleshoot, and provide support, materials and resources. Can I order resource guides and pledge forms?
Yes. The campaign resource guide and pledge form (soft copies) will be available in the Campaign Resources section of this webpage. 2023 - 2024 brochure with pledge form on back page can be found here.

Is seed money available this year?
We will complete our 2024 - 2025 budget by July, but plan to have Seed Money available.
Does the CCC provide incentive gifts?
Upon request, the CCC can provide to you a limited number of incentive gifts. These can include things like tote bags, magnets, stickers, and other swag. It is up to you to decide how to use these items. Often Lead Coordinators will use them for door prizes at events, add them to silent auction baskets or provide them as a thank-you to employees who have donated or volunteered. Quantities are limited. Email us at info@coloradocombinedcampaign.org to find out more.
Other departments seem to have great giveaways such as gift cards. Where can I get these items?
Aside from the limited amount of items that you can receive directly from the CCC, Lead Coordinators can solicit popular businesses for donations. Tip: approach the stores you already frequent for a donation. Approach businesses close to your workplaces that are popular with employees. A sample donation request letter may be found on the Campaign Resources section of this webpage. It’s important to note that you’re asking businesses for a donation to the CCC, not to Colorado state government.
What kickoff events and fundraisers have departments hosted to increase participation and pledges?
Most agencies and colleges/universities will host a nonprofit fair so that employees can learn about the different services being offered in the community. Many times these activities are paired with other events such as chili cook-offs, bake sales, and silent auctions. In 2023, the CCC hosted a series of virtual nonprofit fairs that any donor is welcome to click on and attend at anytime. Access more information and details here.
How do I schedule a nonprofit fair or nonprofit speaker?
Participating nonprofit agencies are always excited to have the opportunity to connect with employee donors about their work and how much the contributions they receive through the CCC make a difference in their ability to help the community. To schedule a nonprofit speaker or to set up a nonprofit fair, please contact the CCC at info@coloradocombinedcampaign.org. We’re happy to help identify and secure speakers for virtual events.
Where can I find more information about the nonprofits participating in this year’s campaign?
A current listing of participating nonprofits can be found on our giving website, https://elevategive.org/ccc. We recommend filtering by cause. You can also find participating nonprofits in our 2023 Resource Guide & Directory.
What do I do with paper pledge forms that have been completed and returned to my attention?
If an employee has opted to donate through payroll contribution and sent it to you, email it to info@coloradocombinedcampaign.org with a note saying it's for the CCC and letting us know which department/division it is for. If you email via a scan machine, please enter your email address in the "from" field, or send us another email letting us know to be on the lookout for an email from xerox, etc.

Due to its ease, convenience and affordability, the CCC strongly recommends that departments focus on and encourage payroll gifts made online through ElevateGive, our easy-to-use, safe and mobile-friendly giving platform.

What is the Pledge Processing Form?
This form serves as part of our system of checks and balances and ensures that the CCC attributes the pledges to the correct state agency, college or university. The Pledge Processing Form needs to be filled out and submitted with each batch of pledges you submit to the CCC. (Batches should also be separated by subdivision, for instance, Department of Revenue – Lottery Division, with the Pledge Processing Form filled out accordingly.)
Can an employee make a pledge after the campaign has officially closed?
Yes! They can visit https://elevategive.org/ccc to make their pledge. Pledging is open year round, however, the later they pledge, the less months a recurring pledge will last for (since recurring pledges end December 2024).
If an employee is hired outside of the official campaign season can they still make a pledge or do they have to wait until the next campaign year?
Employees can make a pledge nearly year-round. This is intended for new hires who are hired outside of the giving campaign season. If someone chooses to make a payroll contribution, it will only last throughout the end of the year. For example, if they pledge in May, they'll only have half a year of pledges from June - December. - "Supplies for Chili Cook off, buying "raffle" supplies, paint and sip supplies, gratitude gram/holiday card supplies"
- "The bulk of the funds will be used to help with the monthly raffle basket. Any funds left over will be put towards a end of the month breakfast/coffee cart we will be putting together for October and November."
- "We'd like to have a drawing for a Starbucks gift card each week for anyone who donated."
- "The $50 would go towards a raffle basket. Those who donate through a payroll donation will be placed in the drawing."
- "Prizes for contests focused on the CCC. In the past, prizes have included soup mixes from the Women's Bean Project so as to continue to support the nonprofit community."
- "I would like to provide prize drawings/incentives for new donors or those who are return donors but increase their amount."
- "We will use the gift card to purchase several $5 gift cards and use those as incentives to get people to pledge.
